Job Summary

We’re looking for a highly organized, detail-oriented, and proactive Administrative Assistant to help keep our daily operations running smoothly. The ideal candidate is dependable, efficient, and thrives in a fast-paced environment. This position plays a key role in coordinating schedules, managing administrative tasks, tracking job progress, handling bookkeeping, and maintaining clear communication with our team and customers.


Paid Time Off begins accruing after a successful trial period.

Key Responsibilities

  • Greet visitors and manage incoming calls with professionalism.
  • Coordinate job scheduling and service appointments to ensure timely completion.
  • Maintain accurate records of projects, job reports, and customer communications.
  • Handle bookkeeping duties using QuickBooks Online, Excel, and Google Sheets, including invoicing, accounts receivable, expense tracking, bank reconciliations, and job cost reports.
  • Assist with budgeting, financial reporting, and filing systems.
  • Support management with various administrative tasks as needed.

Qualifications & Experience

  • Experience with QuickBooks Online, Excel, and Google Sheets preferred (training available for the right candidate).
  • Strong attention to detail and excellent organizational skills.
  • Effective verbal and written communication skills.
  • Ability to multitask and manage priorities independently.
  • Familiarity with general office software and basic budgeting principles.
